The Gift Concierge (“we”, “us”, “our”) is a UK personalised gift-finding service run by Rio and Nicole. This policy explains what personal information we collect when you use our website, why we collect it, how it’s stored, and what rights you have over it.

1. Who we are

The Gift Concierge is a small, UK-based gift-finding service. You can contact us at any time at thegiftconciergeuk@gmail.com with any question or request relating to your personal data.

2. What information we collect

When you send a gift brief, pay for a report or leave a review, we may collect:

• Your name, email address, and phone / WhatsApp number
• The recipient’s name and your relationship to them
• Details you share about the recipient’s personality and interests
• Occasion, budget, number of gifts, and gift style preferences
• Any restrictions you mention, and any extra notes or context you choose to share
• Deadlines you give us for the report and the gift itself
• Payment confirmation details from our bank (amount, date and reference). We never see or store your card details.
• If you leave a review: your name, star rating, how you heard about us, and your review

We only collect what you choose to send us. We do not use tracking cookies, analytics scripts, or advertising trackers on this site.

3. Why we collect it

• To research and write your personalised gift report and Reveal Cards
• To contact you about your brief, your payment, your report, or any follow-up
• To send you a reminder before a date, but only if you’ve asked us to
• To show reviews on our website, with your permission

We do not sell, rent or trade your personal information to anyone.

4. Information about the recipient

You’ll be telling us about someone else. Please share only what helps us choose well. We use it only to find their gift and never contact them.

5. Sensitive information

The “restrictions” and “notes” fields might include things like allergies, religious or cultural considerations, or emotional context. Please share only what’s needed. We use it only to filter and choose gifts sensitively, and never share it beyond what’s needed to deliver your report.

6. Who helps us run the service

• Formspree receives and stores the forms you submit on this website. Formspree is based in the United States, so your form data is transferred outside the UK. See formspree.io/legal/privacy-policy.
• Google (Gmail) for email, and for our records of briefs and reports.
• Tide, our business bank, processes your payment through its secure payment links.
• Canva, which we use to design your report and Reveal Cards.

7. How long we keep it

We delete gift briefs and reports 12 months after delivery, unless you ask us to keep them so we can remind you of dates or build on past reports. Reviews shown on the site are kept until you ask us to remove them. Payment records are kept for as long as UK tax law requires.

8. Your rights

Under UK data protection law, you have the right to:

• Ask what personal information we hold about you
• Ask us to correct anything that’s inaccurate
• Ask us to delete your personal information
• Withdraw a review or ask us to remove it
• Complain to the Information Commissioner’s Office (ico.org.uk) if you’re unhappy with how we’ve handled your data

To use any of these rights, email thegiftconciergeuk@gmail.com and we’ll respond as quickly as we can, and within one month.

9. Children’s information

Our service is for adults arranging gifts for others. We do not knowingly collect personal information from children, other than what an adult tells us about a child they’re buying for.

10. Changes to this policy

We may update this policy as our service grows. Any changes will be posted here with a new date at the top.
